Privacy Policy
This Privacy Policy explains how Smart Inventory, operated by Avalon Solutions, processes information when a Shopify merchant installs or uses the app. Smart Inventory is designed to minimize the customer-related data it processes and does not request access to customer names, email addresses, phone numbers, or shipping/billing addresses.
Information Smart Inventory processes
Merchant and store information
Smart Inventory processes the merchant's Shopify shop domain, app installation/session information, Shopify product and variant identifiers, product titles, SKU/option data, inventory locations, inventory quantities, and merchant-created Smart Inventory settings, materials, recipes, mappings, and audit records.
Order and line-item information
To reserve shared materials and keep inventory accurate, Smart Inventory processes the minimum order data needed for inventory operations. This includes Shopify order identifiers, line-item identifiers, product/variant identifiers, quantities, order lifecycle state, cancellation/edit/refund information, location identifiers, and restock behavior.
Smart Inventory does not request protected customer fields for name, email, phone, or address and is designed not to persist those fields.
Authentication and operational information
Smart Inventory stores Shopify background authorization credentials needed to run merchant-requested automation. These credentials are encrypted before storage. The app may also process technical request metadata and error information required to operate, secure, diagnose, and reconcile the service.
How information is used
Information is used only to provide and secure Smart Inventory, including to:
- calculate sellable inventory from shared materials;
- synchronize linked inventory quantities with Shopify;
- reserve or restore materials when orders are created, cancelled, edited, or refunded;
- protect checkout against shared-material overselling;
- reconcile inventory and provide merchant-facing activity/audit information;
- authenticate the merchant and maintain app security and reliability.
Smart Inventory does not sell customer personal data and does not use protected customer data for advertising, profiling, or unrelated personalization.
Data sharing and service providers
Smart Inventory receives data from Shopify and uses infrastructure service providers necessary to host and operate the service. Current production hosting is provided through Railway. Service providers may process data only as needed to provide infrastructure or support the service, subject to their applicable contractual and security obligations.
Retention and deletion
Merchant operational data is retained while the app is installed and for as long as reasonably necessary to provide inventory functionality, maintain transaction integrity, resolve operational issues, or satisfy applicable legal obligations.
When Shopify notifies Smart Inventory that the app was uninstalled, background
credentials are disabled and removed. When Shopify sends its required shop/redact
privacy event, Smart Inventory deletes the tenant's stored app data from its active database,
subject only to any retention required by applicable law.
Security
Smart Inventory uses HTTPS/TLS for data in transit, encrypts stored Shopify background credentials, applies tenant separation and access controls, and uses webhook signature verification and other application security controls. No system can guarantee absolute security, but reasonable technical and organizational safeguards are maintained for the data processed by the service.
Merchant and customer privacy requests
Shopify merchants remain responsible for their relationship with their customers. Smart Inventory responds to Shopify's mandatory privacy webhooks and supports merchant obligations concerning access and deletion. A customer seeking to exercise privacy rights should normally contact the Shopify merchant with whom the customer interacted.
International processing
Service providers may process information in jurisdictions other than the merchant's own. Where required, Avalon Solutions will use appropriate contractual or other lawful transfer mechanisms.
Changes to this policy
This policy may be updated as Smart Inventory evolves or legal requirements change. Material changes will be reflected by an updated effective date and, when appropriate, additional merchant notice.
